Process

Room changes are classified into two processes, depending on when they occur: In Quarter and End of Quarter. Within each of these processes, there are three sequential components: pull-ins, house moves and general waitlist moves.

Pull-Ins

When a vacancy occurs in a multi-occupancy space, the Occupancy & Administration team will contact the remaining occupant(s) and offer them an opportunity to pull-in another student to fill the vacancy. The remaining occupant(s) will have 48 hours from the timestamp of the pull-in communication to identify another student to pull-in and notify Housing & Residence Life of that student. Each remaining occupant and the student being pulled-in must email collegehousing@uchicago.edu prior to the expiration of the pull-in window confirming the arrangement.

At the conclusion of this time period, if the above process was successful, the Occupancy & Administration team will send a room change approval communication to the student being pulled in. The student will then have 48 hours from the timestamp of that communication to complete their move to the new space. If the remaining occupants fail to pull in another student within the provided window of time, Housing & Residence Life will proceed to the next component, House Moves.

House Moves

When a vacancy occurs in a single-occupancy space or remaining occupant(s) fail to pull another student into a multi-occupancy space vacancy, the Occupancy & Administration team will contact all current residents of the House to offer them an opportunity to “bid” on the vacancy. Current House residents will have 48 hours from the timestamp of the communication to respond and express their interest in the vacancy.

At the conclusion of the bid window, the vacancy will be filled by the student with the greatest number of quarters in the House. If students have equal number of quarters in the House, the number of quarters in the College will be used to break the tie. If students have equal number of quarters in the House and College, a random draw will be used to break the tie.

Once a student has been selected, the Occupancy & Administration team will send a room change approval communication to the student. The student will then have 48 hours from the timestamp of that communication to complete their move to the new space. If no students bid on the vacancy within the provided window of time, Housing & Residence Life will proceed to the final component, General Waitlist Moves.

General Waitlist Moves

Once a space has cleared the Pull-Ins & House Moves components, the Occupancy & Administration team will contact the next student on the General Waitlist that has expressed interest in the space. General Waitlist offers are made based on the date that a student’s waitlist form was received by Housing & Residence Life, with earliest received forms being prioritized first.

The Occupancy & Administration team will reach out to waitlisted students providing them with 48 hours to accept or decline the offer. Once a student has accepted an offer, Occupancy & Administration team will send a room change approval communication to the student. The student will then have 48 hours from the timestamp of that communication to complete their move to the new space.

Important Note: For the 2017-2018 academic year, students not already living in Campus North are only able to relocate there by being pulled in to a multi-occupancy space vacancy.
