Whether internal or external to The University of Chicago, you can rely on Summer Conferences for all of your conference needs. As a conference organizer, you will be provided with one main contact for all of the conference arrangements including: lodging, dining, catering, classroom and event space, recreation center rental and library use. The contract entails all of the lodging and dining arrangements as well as any other reservations on campus. After your conference concludes, you will be provided with one bill that details all of your conference expenditures.
Summer Conferences will assist with:
- Provide consultation on marketing timelines and registration deadlines
- Lead pre-conference campus site tours for conference staff
- Provide information to market campus services and the Hyde Park location
- Offer resources on attractions and services for conference guests
- Provide a coordinator for your conference that serves as your main contact for all of the campus services and facilities
- Provide on-call assistance during the conference duration
- Make all reservations for campus lodging on-campus
- Arrange for participants to have meals at UChicago Dining facilities
- Work with UChicago Catering for refreshment breaks, boxed meals, and catering banquets, as well as assist with customized menu selections
- Create a photo ID for each participant allowing them to have access to the residence hall, dining facility, recreation center and library
- Reserve function spaces and classroom spaces across campus
- Arrange for set-ups and audio-visual equipment in function spaces
- Make reservations for campus recreational facilities and library use
- Coordinate parking reservations
- Work with service providers to coordinate copying services, sound equipment, audio or video taping amenities and office set-up
- Assist with arrangements for tours, entertainment, exhibits, and poster sessions

Dining and Catering Services
All-you-care-to-eat dining for breakfast, lunch, and dinner in a dining facility.
Summer conference guests can purchase Maroon Dollars for use in the multiple cafés and shops on campus. Maroon Dollars allow guests to use their campus ID card like a debit card, swiping their card at a café’s register, and subtracting the dollar amount from their account.
Maroon Dollars are accepted at any dining facility on campus that is open for the summer – at the dining hall and at retail locations where á la carte meals are available.
All unused Maroon Dollars expire at the end of your summer conference program. Maroon Dollars are non-refundable and non-transferable. Taxes apply to Maroon Dollar purchases.

What time can you check in/check out?
Check-in is after 2 p.m. CST and check-out is by 10 a.m. CST
How can my group reserve lounge space in the residence halls?
House lounge spaces and common areas in the residence halls are able to be used by conference participants on a first come first serve basis and are not able to be reserved.There is no charge to use these spaces.
Is there wireless internet in the residence halls and if so how does my group access it?
Yes. Guests can access the UChicago Guest Network. Please contact your summer conference coordinator to obtain your login credential information.
Are there quiet hours in the residence halls?
Yes. Quiet hours begin at 10 p.m. and end at 7 a.m. the following morning.
Do conference guests get access to the house kitchens in the residence halls?
Kitchen facilities are not available to conference guests unless a kitchen is provided in an apartment style residence hall.
Can you sign in guests to the residence halls?
Overnight guests are not permitted in the residence halls. Guests are permitted from 8 a.m. to 10 p.m.. All guests must be escorted by a conference participant and must sign in and out at the front desk. All guests must leave by 10 p.m.
Is there anything you cannot bring with you when you live in the University of Chicago housing?
For safety and sanitary reasons, the following items are not allowed in the residence halls:
electric coffee makers
electric grills (e.g. George Foreman grills)
halogen floor lamps
loft kits/lofting of bed materials
microwaves (unless part of a microfridge unit)
toasters and toaster ovens
refrigerators over 4.0 cubic feet
portable heating systems
weapons (including paintball guns, decorative weapons/swords, and athletic weapons such as a fencing sword or bow and arrow)
air conditioner (unless advance permission is granted for medical reasons)
amplified musical instruments may not be played in guest rooms
candles, incense, and fireworks
hoverboards and drones
Is there a laundry facility in the dorm?
Laundry rooms are available in each residence hall. Laundry machines accept quarters or credit cards (Visa, Mastercard and Discover). Laundry supplies are not provided or for sale on site.

The University of Chicago Summer Conferences program provides the ultimate summer experience for those interested in working in higher education, and more specifically in events and conferences. The University of Chicago offers a summer of enrichment incorporating event planning, customer service, emergency response and professional development opportunities. No day is the same in Summer Conferences, each day presents new and thought-provoking challenges.
The Summer Conferences program at the University of Chicago oversees approximately 50-60 summer conferences ranging from 10 to 500 participants. The University of Chicago is a destination that creates an environment of vigorous discourse and debate drawing conferences from around the world who seek out an intellectual environment. Summer Conferences offers a one-stop shop for conference clients providing conference organizers with one contact, one contract and one bill for all services and reservations. The Summer Conference Coordinators each oversee a portfolio of conferences. For each conference, the summer staff member manages all the logistics for the conference including but not limited to: housing accommodations, dining and catering, event and classroom reservations, A/V requests, recreation center reservations, parking and transportation.

Weekly Speaker Series
To give our Summer Conferences team a unique perspective on different departments in higher education, the summer conferences team is invited to attend lunch with a designated speaker. Each week a different student affairs professional from campus talks to the team about their profession, why they chose that career, and what lessons they have learned. It provides the summer conferences team with an interesting and engaging way to learn about higher education and campus operations.
Each coordinator is paired with a professional staff member in Housing & Residence Life. Mentors and mentees meet on a regular basis to discuss career goals, revise resume and cover letters, conduct mock interviews, and even network throughout campus.
